Neighbors, a community cleanup is scheduled for the morning of Saturday April 12th, 2025. This event is typically planned to clean up the neighborhood along with the surrounding stretch of areas by Lafayette road.

2025 Annual Meeting Notes
Attached and pasted below are my notes from the 2025 annual meeting held on Monday January 27, 2025:
For those individuals who had expressed interest in joining or assisting the board in some way either during the annual meeting or through contacting one of the board members otherwise, we will be in contact through email soon to confirm interest and plan for a group meeting to move forward as a team effort.
If anyone else who had not reached out yet, or needed time to think about potentially joining the board or one of the sub-committees still remains interested, please reach out to a board member soon (https://huntersgreen46278.org/officers/). As we will begin to coordinate at-large and positions in the near future.
I have also placed the Dues sign out by the community entrance as a reminder for those who were unable to attend the meeting, total annual Dues are $375 and are due on March 1st, 2025; Dues can be paid all at once on March 1st, 2025 or into two payments with $200 due on March 1st, 2025 and the remaining $175 due on September 1, 2025.

Budget and Expense Review
o Annual budgets for 2024 and 2025: projected and actual costs for the community discussed:
o Estimated costs for 2025 budget are $30,603.16 based on minor inflation from 2024 expenses.
o Minimum service charge for water bill increased to $61 for off-season.
o Pond aerator motor removed in October, 2024 for cleaning/storage, and will be re-installed in April, 2025.
o Business entity report due at end of each even numbered year, accounted for in Miscellaneous category.
o Currently have $14,374.17 in the Community’s PNC account without January expenses deducted.
o 78 Homeowners in the community, including homes on Shanghai.
o Hoping for minimal costs for additional snow removal the rest of this Winter, as snowplows were called in twice for removal during and following the 1-6-2025 storm and again in response to the 1-10-2025 storm. Totaled $1,050 so far in 2025 for snow removal costs.
· Discussion points were mentioned for reminder handouts to be distributed to improve communication with neighbors for moving vehicles off of the streets prior to snowplow efforts to clear streets during/after storms.
o Landscaping contract renewed on a 2 year contract for 2025 and 2026.
· Discussion regarding research for bids with other companies, benefits vs costs also discussed.
o Sidewalk repairs were not completed in 2024, neighbor continues to further investigate with request to the city.
o Homeowner Dues voted among attendees: 11 Yes to 0 No for a total of $375, which can be paid in installments, with $200 due on March 1, 2025 and $175 due on September 1, 2025.

Open Discussion
o Need for additional residents to volunteer to fill open board member positions, suggestion to have more than one member per position as co-leads.
o Several volunteers welcomed to the board, will coordinate and include in subsequent communication/meetings.
o Sidewalk buckling issue in area on Court, several board members and residents discussed a combined effort to map additional sidewalk areas in need of repair throughout the community to assist with gathering repair estimates.
o Mayor’s action line was contacted and residents will follow up for repairs to sidewalk (case number 2400017888 was the previous case number, neighbor continues to pursue establishing new case number to further escalate assistance).
o Concerns with continued repairs and potential replacement of road signposts and sprinkler system in community.
o Proposal for street sign replacements was discussed, along with associated costs and potential to negotiate costs with sign company.
o Street signs are original from when the neighborhood was built in 1993/1994 and are due for replacement from degradation.
o Communication with landscaping contact will be frequent, to avoid lapse in community needs.
o Question about mulching along shrubs/trees near Shanghai will be investigated with the landscaping contact.
o Lamp posts in neighborhood – question in regard to the replacement of posts and bulbs?
o AES is called and performs bulb replacement as needed.
o Rental property concerns – requesting residents to inform neighbors if issues are observed, limit of 5 rental properties for the community.
o Suggestion to continue to publish community newsletter for neighborhood updates and remind residents to perform property maintenance.
o Monthly or bi-monthly newsletter distribution was mentioned.
o Reminder not to park on sidewalk also mentioned, needs to be added to newsletter.
o Suggestion to improve covenant reminders, violations, letters sent to homeowners with an official letterhead and official envelopes.
o Suggestion to create neighborhood welcoming letter to introduce new homeowners moving to the area and assist with informative discussion.
o Architectural committee needs help with decision-making.
o Some vehicles on Hunters Green Court parked onto the sidewalk, which impedes walking near those vehicles; along with cars which are stationed in the streets during heavy snowfall, which causes difficulties for plows to push snow

Vice President: 1) Calls and leads board meetings in support of the board when the President is absent or unavailable. 2) Assists board discussion on new or upcoming projects within the community. 3) Assists with major board decisions to the impact on the community.
Treasurer: 1) Maintains Hunters Green HOA financial accounts. 2) Performs payments to community services and collection of dues through community U.S. Postal Service post office box. 3) Continues to monitor financial accounts, suggests adjustment of dues as costs to the community change through time. 4) Assists with major board decisions to the impact on the community. 5) Attends board meetings in support of the community.
Secretary: 1) Assists with huntersgreen46278.org website updates. 2) Responsible for website domain name (WordPress.com) and domain mapping (Namecheap.com) annual registration renewal. 3) Records notes from meetings to share with community through website and community Facebook page. 4) Assists with organization and placement of signs for notification of community events. 5) Attends board meetings in support of the community.
Member-at-Large: 1) Attends board meetings in support of the community. 2) Assists board members with decisions.
Architectural committee: 1) Consists of several board members to coordinate decisions to approve or deny community construction or property alteration requests by Hunters Green HOA residents.
Upcoming Winter Storm 1-5 to 1-6-2025

As of 7:35 PM Eastern Standard Time, there is a total of 5 inches of snow predicted for Sunday evening, into Monday morning.
Snow plow crews may be called in to clear the neighborhood streets depending on the total amounts of snow. Please keep the streets clear for the snow crews to effectively plow and move snow, if they are called upon.
Please check on your neighbors for those who may need assistance during this potential severe winter storm.

- Communication with landscaping contact will be frequent, to avoid lapse in community needs.
- Lamp posts in neighborhood – suggestion to replace incandescent bulbs with LED bulbs, question if there will be a higher cost? Board member will investigate further.
- Rental property concerns – requesting residents to inform neighbors if issues are observed, limit of 5 rental properties for the community.
- Suggestion to continue to publish community newsletter for neighborhood updates and remind residents to perform property maintenance.
- Suggestion to improve letters sent to homeowners, with an official letterhead and official envelopes.
- Letters sent to homeowners will have all board members sign-off on the letter.
